We have an opening for an Executive Project Manager to join the team. 

The Executive Project Manager provides high-level administrative assistance and project management by serving in an executive assistant capacity to the CEO (booking travel, managing calendars, responding to emails, etc.) while also functioning as an integral project manager who understands systems, task assigning and project building to help the entire team work cohesively together.

WHAT YOU'LL BE DOING:  

  • Provide hands-on support with planning and booking creative projects and travel (such a photo shoots, video shoots and speaking events).
  • Manage calendars and events for multiple people on the team.
  • Create project plans for marketing initiatives.
  • Track & update projects including but not limited to writing, offering edit notes, and communicating with the team to disseminate information
  • Manage timelines to ensure we stay on track in a given timeline.
  • Help nurture B2B partnerships. 
  • Must be available to work a minimum of 4 hours per day between the hours of 8am to 6pm PST, five days a week for maximized communication and team collaboration. 

Skills You'll Need:  

  • Top-level organizational skills (you have a million folders you file emails into).
  • Extreme attention to detail.
  • Previous experience as an executive assistant working directly with a CEO or other C-Suite Executive.
  • Prior experience booking travel, managing calendars, and executing other administrative tasks. 
  • Proficiency preferred in Asana, Slack, G-Mail, etc.
  • Respectful of confidential information shared with you and remain gossip-free with the team.
  • Excellent Communication Skills - Strong Grammar/Spelling Skills.
  • You’re a born GO GETTER – always looking for ways to add value, do better work, improve efficiencies, build others up, and make the world a better place.
  • A logical thinker who processes outside of emotional connection. You can think big picture and switch gears to plan out all of the details to make big projects come to life.
  • Commitment and adherence to deadlines.
  • Adaptability- You are able to be fluid and flexible in fast paced work environment and do not shut down when there is additional stress. 
  • Time management skills - You are always on time (or early) and you know how to protect others' time so they are able to focus on their most important tasks.
  • Humility and Service – You focus on how you can build a vision bigger than the Founder, and your self and you believe there's no job too big or too small.
  • An open mind to feedback and guidance. 
  • Active listening skills, without the pride of ownership, will suit you well.
  • Natural leader with experience managing freelance and full-time creative professionals.
  • Basic understanding of digital content creation, social media marketing, podcasting, and SEO methods a plus.   

We'd love you to HAVE:  

  • Experience with Digital and Social Media Marketing.
  • Experience managing administrative social media and video production tasks. 
  • 3+ years experience as an executive assistant to a department head or C-team executive. 
  • Experience working on a remote team.
  • An interest in dessert (we love sweets!).
